Lead Management

Lead Management supports the entire process from capturing and qualifying leads to distributing and processing sales opportunities. Leads from websites, campaigns or other external sources are centrally imported into VSS, automatically assigned to the appropriate sales employees and systematically followed up. This enables dealers to respond faster to prospects and make better use of sales opportunities for vehicles and equipment.

Customer inquiries from websites, social media campaigns, and other external applications can be imported directly into VSS via interfaces. This creates a centralized database and ensures that potential sales opportunities are not lost between different channels or systems.

Prospects can be assigned directly to a specific unit or a particular new or used model. Automated checks also prevent units that have already been sold from being processed further, enabling more efficient and relevant lead qualification.

New leads can be automatically assigned to sales representatives according to defined rules, such as a round-robin system. At the same time, manual adjustments remain possible. This ensures that inquiries are distributed evenly and processed more quickly by the right person.

VSS identifies potential duplicates in individual customer inquiries as well as in multi-unit leads and helps merge them. This prevents duplicate processing and ensures that sales representatives have a consistent view of customers and sales opportunities.

Automated notifications, appointments, and workflow-based tasks help sales consultants consistently follow up on leads. At the same time, sales managers gain visibility into calendars, overdue activities, and the sales funnel, enabling them to manage their team’s performance more effectively.

Test Drive Management

Test Drive Management supports the planning, execution, and tracking of test drives directly within the sales process. Available vehicles and sales consultants can be coordinated centrally, appointments can be confirmed automatically, and customer documents can be managed in a structured manner. This makes the test drive a professional and measurable part of the sales journey.

Sales consultants can schedule and conduct test drives directly with customers. A centralized calendar shows the availability of test vehicles and the staff members responsible, making it easier to schedule appointments quickly and reliably.

After scheduling an appointment, customers can automatically receive a confirmation with all relevant information—including directions to the location. This reduces follow-up inquiries, improves preparation, and ensures a professional customer experience.

Documents such as driver’s licenses, consent forms, or other supporting documents can be assigned directly to the case. This ensures that all important information is available in one place and simplifies the administrative steps involved in the test drive.

After the test drive, salespeople can collect structured feedback using customizable forms. This provides greater clarity regarding customer interest and potential objections, allowing subsequent sales activities to be tailored more effectively to the sales opportunity.

Canceled test drives can be rescheduled, and lost sales opportunities—including customer feedback—can be documented. This ensures that leads remain traceable and provides sales teams with valuable information to continuously improve processes, consulting, and conversion rates.

Booking Fee & Financing

Booking Fee & Financing supports the processing of booking fees, down payments and financing directly within the sales process. Payment requests can be triggered flexibly, financing offers calculated based on defined parameters and payments processed through the VSS Cash Desk. This transparently integrates financing and payment processing into the sale of vehicles and equipment.

Reservation fees and deposits can be initiated from both the front office and the VSS back office. This allows payment requests to be flexibly integrated into various sales processes and processed centrally.

When a request for a down payment is made, VSS automatically generates the corresponding transaction for the back office. The payment can then be processed through the VSS Cash Desk, which reduces manual transfers and speeds up workflows.

The integrated Vehicle Finance Calculator enables financing calculations based on unit price, down payment, interest rate, term and monthly payment. Sales advisors can quickly compare different scenarios and provide customers with more targeted advice.

Financing products from various financial institutions can be saved as templates. This allows sales teams to draw on standardized offers and efficiently integrate suitable financing options into the sales process.

Larger customer payments covering multiple sales orders or units can also be processed centrally. Authorized employees distribute the received amount across the relevant orders through the Cash Desk and maintain a transparent overview of payment allocation.

Offer/Quote

Offer/Quote supports the structured creation and processing of quotations throughout the sales process. Sales advisors can create different quotation variants for vehicles and equipment, flexibly manage prices and discounts, handle approvals digitally and reserve available units following the customer’s decision. This efficiently turns a sales opportunity into a binding sales order.

Depending on the sales process, quotations can be created at different stages and multiple variants prepared before the customer makes a decision. This allows different units, configurations, accessories, additional services or commercial conditions to be compared and the consultation to be tailored to specific customer requirements.

Discounts can be applied to individual line items or the total price as a fixed amount or percentage. Multi-step approval processes based on defined rules and thresholds ensure that discounts are applied in a transparent and controlled manner.

Quotations can be sent electronically to customers and relevant documents stored centrally in the system. Configurable forms can also be adapted to the branding of the dealer organization, creating a consistent and professional appearance across different business areas and locations.

Following successful quotation approval, a suitable unit can be assigned and reserved directly. This secures the required vehicle or equipment for the customer and accelerates the transition from initial interest to a binding purchase decision.

Once the quote has been accepted, the contract and order process can begin immediately. The quote information is reused in the VSS Sales Backoffice, which prevents duplicate data entry and streamlines the sales closing process.

Sales Order

Sales Order forms the central process for creating and processing sales orders in proaxia VSS. Single- and multi-unit orders for vehicles and equipment can be transferred from existing quotations or created directly in the back office and subsequently processed in a structured manner. This creates an end-to-end sales process from the customer’s decision through unit preparation and delivery.

Accepted single- or multi-unit quotations can be converted directly into a Sales Order. Existing customer, unit and quotation information is reused, avoiding duplicate data entry within the sales process.

Sales Orders support individual units as well as multi-unit orders with different brands, models or quantities. This enables dealers to manage traditional retail sales as well as fleet, B2B and wholesale business within one consistent process.

Order acceptance can be documented through digital signatures from the customer and the sales representative. This makes the contract process faster and more transparent, and ensures that important sales documents remain directly linked to the respective order.

When using the VSS Digital Sales Workplace, sales orders are automatically transferred to the VSS Backoffice. Alternatively, orders can be created directly there. In this way, VSS supports different sales organizations without interrupting the end-to-end process.

Processes such as Pre-Delivery Inspection, Dealer Fitted Accessories or additional fitment and preparation work can be initiated directly from the Sales Order. Delivery information, accessories, optional equipment and additional services remain linked to the sales order, allowing delivery preparation to begin at an early stage.

Unit Allocation

Unit Allocation supports the targeted assignment of available vehicles and equipment to existing sales orders. VSS matches unit configuration, availability and defined allocation rules and enables both individual and automated mass allocation. This allows available inventory to be used efficiently and sales orders to be fulfilled faster.

VSS matches the requirements of the sales order with available units and displays suitable vehicles or equipment for selection. Sales advisors and back-office teams can therefore identify the right unit faster and assign it to the relevant order.

The availability of a unit can be managed based on defined status and business rules and does not have to depend solely on physical inventory. This enables available vehicles and equipment to be deployed more flexibly and effectively within the sales process.

Units can be allocated individually, in larger quantities, manually or automatically. Background processes particularly support extensive multi-unit and fleet orders and reduce administrative effort for larger sales volumes.

Unit allocation can follow predefined rules such as the FIFO principle. Individual business logic can also be taken into account, ensuring that vehicles and equipment are allocated consistently according to the requirements of the respective dealer organization.

Additional items such as accessories, optional equipment, contracts, fitments or other services can be linked directly to the sales order. This keeps the complete unit configuration centrally documented and allows subsequent preparation processes to be initiated efficiently.

Billing

Billing supports pricing and invoicing for vehicle and equipment sales in proaxia VSS. Prices, discounts, approvals and different invoice recipients can be managed flexibly and processed directly from the sales order. This creates a transparent, controlled and efficient billing process through to delivery.

VSS uses the SAP pricing engine and enables prices to be defined at different levels – for example by unit, model, customer group or campaign. This allows complex pricing structures to be centrally managed and applied consistently throughout the sales process.

Additional discounts can be forwarded to the appropriate managers through defined approval processes. Once approved, the discount is automatically applied to the order, ensuring controlled price reductions without the need for unnecessary manual coordination.

If terms and conditions change before the final invoice is issued, prices can be adjusted and new pro forma invoices can be generated. This ensures that customers and the sales team are always informed of the current invoice amount.

The total amount of a sales order can be allocated to various invoice recipients, such as customers, financing companies, or leasing providers. This allows even more complex financing and billing scenarios to be handled efficiently within a single sales order.

Separate billing documents can be created for individual or multiple units depending on different delivery dates. At the same time, VSS supports various payment methods through the Cash Desk, enabling flexible completion of the sales process.

Unit Delivery

Unit Delivery supports the structured planning and execution of vehicle and equipment deliveries. Appointments, documents, internal tasks and customer communication are centrally coordinated within the sales process. This creates a professional handover with clear responsibilities, complete documentation and a consistent customer experience through and beyond delivery.

Once unit preparation has been completed, delivery can be scheduled directly within the VSS Digital Sales Workplace. Sales advisors centrally coordinate the date, location and employees involved, creating a smooth handover process.

Once an appointment has been scheduled, customers can be automatically notified via email, text message, or WhatsApp and receive calendar invitations. This reduces follow-up inquiries and ensures that all relevant information is available in a timely manner.

Tasks related to delivery – such as registration where required, as well as additional preparation activities – can be assigned directly to the responsible teams. Clear responsibilities help avoid delays and ensure an on-time handover.

Following successful delivery, the unit is assigned to the customer. Relevant information such as warranty, ownership and other master data can be updated and subsequently used in future sales, service and aftersales processes.

Following handover, follow-up tasks for customer feedback or additional touchpoints can be created automatically. This ensures that the sales journey does not end with delivery but becomes the foundation for long-term customer loyalty, service business and future sales opportunities.
