An AI function cannot compensate for poor data or interrupted processes.

For SAP-based service organizations, mobile execution is part of a larger end-to-end process: from the customer request through the work order, planning, and scheduling to execution, confirmation, billing, and analysis. The previous SAP Field Service Management (FSM) has been renamed as of Release 2605 SAP Field Service & Asset Management (FSA) and has been functionally expanded to include asset maintenance scenarios. The solution offers a mobile application for both online and offline use and supports, among other things, work orders, asset information, guided workflows, digital forms, and time and material confirmations.

Depending on the target architecture, the solution must be compatible with SAP S/4HANA Service or Asset Management, SAP Service Cloud, as well as material, contract, and billing processes. Integrated extensions fill in the gaps where industry-specific or customer-specific requirements go beyond the standard functionality.

The key architectural question, therefore, is not just: Which app do we use? But rather: How does the right data reach the technician—and how is his feedback incorporated into the main processes without a disruption in the workflow?

Offline Apps and Mobile Forms: Where the Standard Falls Short

A standard app is the right foundation if the mobile process can be largely mapped using the built-in order, workflow, form, and feedback functions. In practice, however, requirements quickly become more demanding: complex forms must function offline, validation rules need to respond based on user input, measured values must trigger backend processes, or additional data sources must be integrated.

This is a clear signal that SAP Field Service & Asset Management should be viewed not merely as a ready-made technician app, but as an extensible platform for mobile service and maintenance processes.

The guiding principle here is: use as many standards as possible and add only as many extensions as are technically necessary. A good extension architecture remains upgradeable, avoids duplicate data storage, and integrates seamlessly with the security, role, and integration logic of the SAP landscape.

How to Measure the Benefits

A technician app shouldn’t be evaluated solely based on user numbers or digitized forms. Operational metrics such as the following are more meaningful:

  • First-Time Fix Rate and Average Resolution Time
  • Time spent on documentation and follow-up work

  • Time from completion of the assignment to billing
  • Completeness and Quality of the Feedback Data
  • Percentage of error-free offline synchronizations
  • User acceptance and orders actually processed via mobile devices

What Companies Should Keep in Mind When Implementing This

Successful mobile service projects don’t start with the longest possible list of features, but with the technicians’ real-world work situations. What information is currently missing? Where does rework occur? Which steps need to work offline? Which feedback triggers which processes in the backend?

Equally important are simple user guidance, minimal clicks, relevant information rather than a flood of data, and synchronization that remains reliable even under challenging conditions. Pilot users from the field should be involved early on. Only a solution that is accepted in the field will consistently deliver better data and measurable results.
